Are you wearing a lot of hats and it’s starting to feel overwhelming?
This week, I’m listing four signs it might be time to ask for a helping hand from a Virtual Office Admin.

As a small business owner, I know that there is a lot more that goes into running things than it seems at first glance. People start businesses to share their skills, experience, and passion with the world, not because they love doing every single administrative task that comes with it (unless you’re like me, which is why I started Citrine Sea Administration). So if you feel overwhelmed, unbalanced, or just generally unhappy when it comes to your business, read on for a few signs to look for that show it might be time to reach out for a helping hand!
Sign #1: Routine Tasks Are Taking Up Too Much Time
There are a lot of daily, weekly, or monthly tasks that are necessary to running a small business, but take up a lot of time. Things like:
Data entry
Answering common customer inquiries
Updating inventory
Researching new products, events, or opportunities
Organizing your calendar
Organizing your email inbox
Designing business cards, flyers, or brochures
Of course, this is a non-exhaustive list of things, but I’ve noticed these are some of the most common tasks people need help with. If you feel like these vital tasks are taking up more of your time than they used to, a virtual office administrator can help take some of those things off your plate so you can have more time to pursue what made you passionate about your business in the first place!
Sign #2: Your Work-Life Balance is Off
Are you constantly feeling overwhelmed and close to burning out? I’ve been there, and it sucks! A lot of people (including me!) started their small business to have more freedom and flexibility in their lives. It’s exciting to see your business grow, but as businesses grow, so does the workload.
When you’re overwhelmed by your daily tasks, your work-life balance can start to get, well, unbalanced. I’ve always been a huge believer in keeping a hard boundary between work and life. I know that’s a lot easier said than done, but once it’s done, it makes such a difference! I did not have a good work-life balance at one of my previous jobs, and my mental health suffered. I was constantly on edge, and I dreaded logging on every morning because I had spent so much of my off time worrying about work. I still showed up and did my job, but I knew I wasn’t showing up as my best self for my co-workers. When I left that job, it felt like a huge weight had been lifted.
The next job I had had a very clear work-life balance and I realized for the first time how important it was to living a happier life. At the end of the work day, I turned off my computer and didn’t think about anything work-related until I sat down at my desk again the next morning, and I got to actually enjoy my free time!
If you need help getting your work and life back into balance, you could benefit from delegating some of your work to a virtual office administrator!
Sign #3: Communications Are Slow
Is it taking longer than you would like to communicate with with clients, customers, or vendors? Unanswered calls and emails can pile up fast and add unneeded stress to your day. From answering simple inquiries about your business from current or potential customers to scheduling a specific time to reach out to people that need your unique knowledge and insight, a virtual office administrator can help you get through the backlog of unanswered communications and create a system to ensure that future communications are answered promptly.
Sign #4: You’ve Been Missing Out on Important Events
Whether it’s a big networking event or a coffee meeting with a potential lead, taking advantage of opportunities are so important to growing your business! If you’ve been too busy keeping up with the day-to-day activities behind running your business, you could be missing out on new and exciting opportunities to make your business flourish. Delegating that routine work to a virtual office admin can free up your time so you can get out there and make new connections!
Final Thoughts
If running your business has stopped being fun and you’re ready to bring some balance back into your life, hiring a virtual office admin could be exactly what you need!
